Job Description:
Document Control Management
Manage and maintain Engineering Document Lists, Permit Engineering Documents, and Construction Documents to ensure accuracy and up-to-date information.
Verify document numbers, revisions, committed dates, and submission statuses (Planned / Submitted / Approved / Rejected).
Prepare and regularly update Document Control Logs and Document Registers.
Control both hard copy and soft copy documents in compliance with ISO standards and Project Procedures.
Document Progress Monitoring
Coordinate with the Engineering Team to ensure all documents are ready by the committed date.
Prepare Engineering Progress Reports, Weekly Progress Reports, and Monthly Progress Reports for management and clients.
Provide early alerts for potential document delays or overdue submissions.
Submission & Coordination
Prepare and submit documents to clients, consultants, and internal departments according to the approval system (Transmittal / Submission Form).
Record and track client responses and approvals (Approved / Commented / Rejected).
Engineering Support
Support the preparation of engineering-related documents such as Drawings, Specifications, Calculation Sheets, Method Statements, and Shop Drawings.
Assist in compiling Permit Drawing Packages, Construction Drawing Packages, and As-built Drawings for approval.
Support electronic document storage and management systems (e.g., DMS, SharePoint, Internal Server).
Attend meetings and prepare Minutes of Meeting (MOM) to follow up on action items.
Qualification
Diploma or Bachelor’s degree in Business Administration, Engineering, or a related field.
1–3 years of experience in Document Control or administrative work in construction or engineering projects.
Proficient in Microsoft Excel, Word, PowerPoint, and document management systems (e.g., SharePoint, Aconex, EDMS).
Strong communication and coordination skills; able to work under pressure and tight deadlines.
Ability to read and understand basic engineering or construction drawings is an advantage.
